Our experience

What large delegations teach you is that lead time decides everything. For a hundred people or more, lock the venue and room block at least three to four months ahead, especially around cherry blossom or autumn colour – the two seasons when Korean hotels fill earliest. The most underestimated item is the group visa file: it takes time to assemble and not everyone in a delegation has an equally strong application, so review it early while there is still room to substitute a traveller. And a very practical point: Korean function venues typically itemise almost everything – equipment, technical crew, build hours, strike hours – so ask for a fully broken-down cost sheet from the outset rather than a single figure.

Policy

Delivery, payment and cancellation policy

  • TGROUP issues a proposal and an itemised cost sheet once the delegation size, dates, venue and programme requirements are known.
  • Venues, room blocks and function rooms are held firm only once you confirm and the deposit required by each supplier is completed.
  • Cancellation terms and penalties from hotels, convention centres and airlines may be stricter than our general policy; they are stated in the contract before signature.
  • Group visa outcomes rest with the Korean consular authorities; TGROUP assists with preparation but does not guarantee approval for any individual in the delegation.
  • Changes to guest numbers, dates or production scope after sign-off may incur additional cost, advised before any work proceeds.
  • Payment follows the milestones set out in the contract, by bank transfer or as mutually agreed.

TGROUP provides an on-site operations team speaking Vietnamese and Korean, on duty for the full duration of the programme.
